Bright Early Learning Riverwood (“Bright ELC”, “we”, “us”) is operated by Stavros Education Pty Ltd at 29 William Rd, Riverwood NSW 2210. We are committed to protecting the privacy of the children and families in our care, and we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it.
The information we collect
When you make an enquiry. If you contact us through our website, by phone or in person, we collect your name, phone number, email address, your child’s age group and your expected start date, together with anything else you choose to tell us.
When you enrol a child. Enrolment requires more detailed information, including your child’s full name, date of birth and address; the names and contact details of parents, guardians and authorised nominees; Child Care Subsidy and Customer Reference Number details; immunisation records; medical, dietary and allergy information; any medical management or risk minimisation plans; court orders or parenting plans where they apply; and emergency contacts.
While your child attends. We keep attendance records, daily records of sleep, meals and nappy changes for younger children, observations and learning documentation, incident and injury records, and medication records.
Photographs and video. We photograph and film children as part of documenting their learning, and sometimes for our website, social media and advertising. This only ever happens with the written permission of a parent or guardian, and you can withdraw that permission at any time by telling us in writing.
When you visit our website. Our website uses cookies and analytics tools, including Google Analytics and the Meta pixel, which collect information about how the site is used, such as pages viewed and approximate location. This information is not used to identify you personally. You can disable cookies in your browser settings.
Why we collect it
We collect personal information so that we can respond to your enquiry, assess and manage enrolments, care for and educate your child safely, meet our obligations under the Education and Care Services National Law and Regulations, administer Child Care Subsidy payments, communicate with you about your child and the service, and manage fees and accounts.
We cannot enrol a child without the information the National Regulations require us to hold.
Who we share it with
We disclose personal information only where it is necessary, and only to:
- Services Australia and the Department of Education, for Child Care Subsidy administration;
- the NSW Department of Education as our regulatory authority, and ACECQA, where required;
- our childcare management and attendance software providers, who store data on our behalf;
- medical or emergency services, where a child’s health or safety requires it;
- government agencies where we are legally required to disclose, including under child protection law;
- our professional advisers, where necessary.
We do not sell personal information, and we do not disclose it for any purpose unrelated to the care and education of your child without your consent.
How we store and protect it
Records are held in secure electronic systems and, where kept in paper form, in locked storage on the premises. Access is limited to staff who need it to do their job. Some of our software providers may store data on servers outside Australia; where that happens we take reasonable steps to ensure the information is handled consistently with the Australian Privacy Principles.
How long we keep it
We keep records for the periods required by the Education and Care Services National Regulations. Some records relating to a child must be kept until the child turns 25. Enquiry information from families who do not enrol is kept only for as long as it is useful, and then deleted.
Accessing and correcting your information
You can ask to see the personal information we hold about you or your child, and ask us to correct it if it is wrong or out of date. Contact us using the details below. We will respond within a reasonable time, and we will tell you if there is a reason we cannot provide access.
Complaints
If you believe we have mishandled your personal information, please raise it with the centre director first so that we can put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
